Studio Policies
Effective October 2026
The following policies govern all lessons, subscriptions, packages, and services provided by The Song Spot. By enrolling, purchasing, or scheduling lessons, students and/or their parents or legal guardians agree to abide by these terms.
1. Scheduling & Lesson Options
Monthly Subscriptions
Monthly subscriptions reserve a recurring weekly lesson time with an assigned instructor. Subscriptions automatically renew each month, with payments processed on the 1st. Initial payments may be prorated based on the enrollment date.
Subscription fees reserve the student’s ongoing lesson time and are not dependent on attendance. All subscriptions follow The Song Spot’s annual studio calendar (read more below)
Scheduled Studio Closures
The Song Spot observes the following holidays and designated breaks:
New Year’s Day – January 1
Memorial Day – Last Monday in May
- Independence Day – July 4
Labor Day – First Monday in September
Thanksgiving Break – Thanksgiving Day through the following Sunday
Christmas Break – Christmas Eve through the Sunday following Christmas
Additional scheduled closures or adjustments to holiday observances will be communicated in advance.
Holiday Scheduling & Billing
Scheduled studio closures are accounted for within the annual subscription calendar and do not qualify for additional makeup lessons, refunds, or credits.
Monthly subscription rates remain consistent throughout the year, regardless of the number of instructional weeks in a particular month.
Single lessons may be scheduled during studio closures only with prior approval from the instructor and studio management.
The Song Spot reserves the right to modify its annual calendar with advance notice to students.
Lesson Packages
Lesson packages offer flexible scheduling based on instructor availability and do not reserve a recurring weekly time slot. Students are responsible for scheduling and completing lessons before their package expires.
Five-lesson packages expire three months after purchase.
Fifteen-lesson packages expire six months after purchase.
Unused lessons remaining after the expiration date are forfeited and are not eligible for refunds or extensions unless otherwise approved by studio management.
Single Lessons
Single lessons are scheduled individually and are subject to instructor availability. Purchasing a single lesson does not guarantee a recurring lesson time or future instructor availability.
2. Cancellation & Rescheduling Policy
A minimum of 24 hours’ notice is required to cancel or reschedule any scheduled lesson.
Lessons canceled with less than 24 hours’ notice, or missed without notice, are considered forfeited and are not eligible for refunds, rescheduling, or makeup credits.
Cancellations and rescheduling requests submitted at least 24 hours before the scheduled lesson are subject to the following conditions:
Rescheduled lessons and makeup credits must be used within 30 days of the original lesson date.
Subscription students may hold a maximum of one active makeup credit at a time.
All rescheduling is subject to instructor and studio availability.
Makeup lessons are subject to the same 24-hour cancellation policy.
Unused or expired makeup credits have no cash value and are non-refundable.
All cancellation and rescheduling requests must be submitted through the studio’s scheduling system or directly to studio administration.
The Song Spot reserves the right to grant exceptions at its discretion. Exceptions are not guaranteed and do not establish a precedent for future requests.
3. Instructor Availability & Substitutions
In the event an instructor is unavailable due to illness, travel, or other circumstances, The Song Spot reserves the right to assign a qualified substitute instructor.
Students who decline a substitute may request an alternative lesson time or makeup credit, subject to availability.
If The Song Spot is unable to provide the scheduled lesson or an appropriate alternative, the student will be offered a rescheduled lesson, account credit, or applicable refund.
The Song Spot does not guarantee that rescheduled lessons will be available with the student’s regular instructor.
4. Monthly Subscription Billing & Termination
Monthly subscriptions automatically renew until properly canceled in accordance with this policy.
A minimum of 30 days’ written notice is required to cancel or modify a subscription.
All requests must be submitted by email to info@thesongspotmusic.com. Verbal requests or notifications made directly to instructors do not constitute official cancellation notice.
Subscription payments remain due throughout the 30-day notice period. Final billing may be prorated based on the effective cancellation date, and an additional payment may be required to fulfill the remaining notice period.
Students retain access to their scheduled lessons throughout the paid notice period.
Failure to attend lessons does not constitute cancellation of a subscription or release the student from payment obligations.
5. Required Materials
Students are responsible for obtaining and maintaining the materials and equipment necessary for their instruction.
Students should maintain a folder or binder for instructional materials and a notebook for assignments and practice notes. Metronomes, tuners, and other practice tools may be required as determined by the instructor.
Students studying an instrument must have access to an instrument in proper working condition for regular practice outside of lessons.
Any required books, sheet music, instructional resources, or other learning materials are the financial responsibility of the student unless otherwise specified. Instructors may provide purchasing recommendations or arrange for materials to be purchased through The Song Spot.
A laptop, second device for music, and good wifi connection is required for all zoom lessons.
6. Practice Expectations
Students are expected to practice regularly outside of scheduled lessons in accordance with instructor recommendations.
Daily practice of approximately 15–30 minutes is encouraged, depending on the student’s age, experience, and instructional goals.
The Song Spot and its instructors cannot guarantee specific rates of progress, as individual development depends on attendance, practice consistency, and personal effort.
7. Inclement Weather
The Song Spot generally follows local school closures when determining weather-related schedule adjustments.
In the event of inclement weather or unsafe travel conditions, in-person lessons may be transitioned to a virtual format through Zoom.
Students will be notified of scheduling changes as early as reasonably possible.
When a virtual lesson is provided as an alternative to an in-person lesson, the lesson will proceed as scheduled. Students who decline the virtual option are not entitled to refunds or makeup credits solely due to the change in format.
8. Health & Safety
Students experiencing contagious illness or symptoms that may place others at risk are expected to notify the studio and refrain from attending in-person lessons.
When appropriate, lessons may be conducted virtually, subject to the studio’s scheduling and cancellation policies.
The Song Spot reserves the right to transition lessons to a virtual format or make other reasonable scheduling adjustments when necessary to protect the health and safety of students, instructors, and staff.
9. Studio Conduct
All students, parents, guardians, and guests are expected to conduct themselves respectfully and professionally while in the studio and participating in studio activities.
Disruptive, threatening, harassing, discriminatory, or otherwise inappropriate behavior will not be tolerated.
The Song Spot reserves the right to suspend or terminate services when an individual’s conduct compromises the safety, well-being, or educational environment of the studio, our teachers, or our students.
Dismissal resulting from serious conduct violations may result in forfeiture of scheduled lessons without refund.
10. Refunds & Lesson Transfers
All lesson purchases are final and non-refundable except where otherwise specified in these policies or required by applicable law.
Lessons forfeited due to late cancellations, no-shows, or expired credits are not eligible for refunds.
Single lessons and makeup credits are non-transferable and may only be used by the individual for whom they were originally purchased or issued.
Exceptions require prior written approval from studio management.
11. Privacy Policy
Mobile opt-in information will not be shared with third parties for marketing purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
12. Messaging Terms and Conditions
Messaging Terms and Conditions: You agree to receive informational messages (appointment reminders, account notifications, etc.) from The Song Spot Music Lessons. Message frequency varies. Message and data rates may apply. For help, reply HELP or email us at info@thesongspotmusic.com. You can opt out at any time by replying STOP
13. Policy Acknowledgment
By purchasing, enrolling in, or scheduling services with The Song Spot, students and/or their parents or legal guardians acknowledge that they have reviewed and agree to these Studio Policies & Terms and Conditions.
The Song Spot reserves the right to update its policies as necessary. Updated policies will be made available through the studio website.
